SmartPM: Project Management with Gantt, Kanban, the Critical Path and AI

SmartPM logo Smart product family

What is SmartPM?

SmartPM is the web-based project management software of the Smart product family, developed by Digital Bridge. It runs projects and tasks in list, kanban and Gantt views, and brings task dependencies, the critical path, project roles, client access, time tracking, reports and AI-assisted planning together in one panel. You sign in with your Smart360 account.

When a plan lives in a spreadsheet or an email thread and one job slips, someone has to move every dependent date by hand, and it is rarely clear which delay actually threatens the delivery date. In SmartPM, tasks are linked: when one runs over, the tasks that follow move forward on their own with their durations intact, and the critical path is always on screen.

  • Sign in with your Smart360 account; there is no separate SmartPM password
  • A separate database for every organisation
  • Clients see only the tasks you open to them
  • AI: plans from documents and descriptions, subtask suggestions, status summaries and an assistant

What does AI do in SmartPM?

AI works in five places in SmartPM: plan from a document, plan from a description, subtask suggestions, the project status summary and a conversational assistant. Plans, subtasks and status summaries are always shown as suggestions; the assistant carries out your request directly, but only with your permissions, without deleting cards and listing every change it makes. AI features are for the team, and usage comes out of the organisation's monthly Smart360 AI allowance.

Plan from a document: a task plan from a proposal or specification
Drag in a client's proposal, a specification, a survey report, a work list or a bill of quantities, and SmartPM's AI turns the work inside it into a draft plan of phased cards with durations in working days, links between them, priorities and coloured labels. Phases become parent cards with coloured covers, the work items become child cards, and sub-points in the document go into checklists. It reads Word (docx), PDF, Excel (xlsx), CSV, TXT and MD files up to 20 MB. You correct the draft before saving and add it to a new project or an open board. Scanned PDFs without a text layer cannot be read; the document is uploaded only to be read and is deleted as soon as it has been read.
Plan from a description: describe the project, get a draft
Describe the project in a few sentences and the AI suggests tasks, durations in working days, sequence links between tasks and milestones. You adjust the suggestion and create the project in one click; the links are used straight away on the Gantt chart and in the critical path calculation.
Subtask suggestions ("Suggest with AI")
Open a large task and press "Suggest with AI": workable subtasks and their estimated durations come back from the task's title and description. Subtasks that already exist are not suggested again. The subtasks you pick are added starting from the parent task's date and, if you wish, linked in sequence (one starts when the previous one ends). Nothing is saved until you add it.
Status summary: where does the project stand, where are the risks?
The AI reviews the project for you: from overdue tasks, the critical path, upcoming deliveries and recent comments it writes a short report covering the overall picture, the risks and suggestions for this week. The summary relies only on the project's own data, is never saved and is prepared afresh with current data each time it is opened.
Assistant: type it, and the board changes
By chatting with the assistant in the right-hand bar you create, move and assign cards and add dates, labels, checklists, comments and dependencies. The assistant carries out the request directly, but it works only with your permissions and never deletes cards. It lists every change one by one in its reply and records it in the card history under your name; the board, list and Gantt chart update on their own on your screen and your team's. The changes the assistant makes in one message can be undone in a single step with Ctrl/Cmd+Z. Your conversation with the assistant is private to you.

Example: a request typed to the assistant

"Create a logo revision card due tomorrow, assign it to me and add a pre-launch checklist."

The assistant creates the card, assigns it to you and adds the due date and the checklist, then lists the changes it made one by one in its reply. The changes appear in the card history under your name.

Governance

What rules does AI follow in SmartPM?

Where project data is shared with clients and several people work on the same plan, AI must not step outside anyone's permissions and its cost has to be predictable. In SmartPM, AI works within the user's permissions, on the organisation's monthly allowance and for the team only.

For all of the family's AI services, see the Smart360 page.

Works within your permissions
The assistant works only with the project permissions of the person making the request; anything that person cannot do, the assistant cannot do either. It never deletes cards.
Shown as suggestions
Plans, subtasks and status summaries always arrive as suggestions. You save plans and subtasks after choosing and correcting them; the status summary is never saved.
Not for the Client role
AI features are for the team. People with the Client role on a project cannot use AI and cannot see status summaries.
Monthly Smart360 allowance
AI usage comes out of the organisation's monthly Smart360 AI allowance. Across the Smart family, products reach AI services through Smart360's central layer, and usage is counted against the organisation's allowance.
Per-person limits
On the "Usage and limits" screen in the assistant panel, an organisation admin sees this month's usage by feature and can set a monthly limit per person.
When the allowance runs out
SmartPM says so clearly. Every feature other than AI keeps working: projects, tasks, the Gantt chart, files and time records all stay available.
Rules independent of AI
Project roles, "Visible to client" visibility and the separate database per organisation are SmartPM's own rules; they do not depend on AI and apply unchanged even when the AI allowance is used up.
Audit trail
Every change the assistant makes is written to the card history under the name of the user who asked for it, so "who did what, and when" is answered for AI-made changes too. (Elsewhere in the Smart family, actions AI takes on its own, for example in the SmartMail audit log, appear as "System" rather than as a person.)
Documents are not kept
A document uploaded to be turned into a plan is uploaded only to be read and is deleted as soon as it has been read.
What It Solves

Which project problems does SmartPM solve?

When the plan, the team's daily work, what the client has seen and the hours spent are all kept in different places, none of them is ever quite up to date. SmartPM keeps all four on the same task record.

01

When one job slips, the plan corrects itself

If a predecessor runs longer or moves, its successors are pushed forward with their durations kept; weekends are not counted. The screen tells you how many tasks moved, and tasks already on suitable dates are left alone.

02

Clients see only what you open

A client joins the project with the Client role and sees only tasks marked "Visible to client". Internal tasks, time entries and the team list stay hidden, and approvals or change requests are recorded on the task.

03

Time is kept next to the work

The timer starts from the task panel and keeps running when you change page; switch to another task and it saves the previous one. A weekly timesheet shows who spent how long on what.

Features

SmartPM's main project management features

The same tasks work in three views: as a table in the list, as cards on the kanban board and as bars on the Gantt timeline. A change made in one view applies in the others.

Projects and templates

Start from a blank project or one of three ready-made templates: website, event and product launch. A template sets up tasks, dates, dependencies, milestones and labels from the day you create the project. Progress percentage per project, archiving, and permanent deletion confirmed by typing the project name.

Tasks and subtasks

Status, four priority levels, start and due dates, progress and multiple assignees. Subtasks up to five levels deep; coloured labels, checklists, milestones and a task history of who did what, and when.

Kanban board

To do, In progress, In review and Done lists; moving a card changes its status. Columns can be renamed, coloured and marked as "counts as done". Keyboard shortcuts, plus undo with Ctrl/Cmd+Z.

Gantt chart and critical path

Drag a bar to move a task, pull its edge to extend it; four dependency types with lag in working days. The critical path and its links are shown in red, with the slack of every other task beside it. Day, week and month scales.

Team and project roles

Manager, Member, Viewer and Client roles, so everyone sees what their role allows. People are picked from your Smart360 users. Whoever creates a project becomes its manager, and the last manager of a project cannot be removed.

Comments, notifications and files

Mention people with @ in task comments; changes reach everyone with the project open within a few seconds. Notifications collect under the bell, and email can be set per person to instant, daily digest or off. Up to 250 MB per file.

Calendar

The project calendar shows tasks on their due dates, by month or week. "My calendar" brings together the tasks assigned to you and reminders from the other Smart products.

Time tracking

One timer per person, or manual entry such as "1:30" or "45 min". The weekly timesheet totals each day and each task, and the CSV export opens directly in Excel set up for Turkish.

Reports and search

Project progress, overdue tasks (with how many days late), workload per person and a time summary; each section downloads as CSV. Search covers project names, tasks, comments and file names.

Gantt Chart

How do task dependencies and the critical path work on SmartPM's Gantt chart?

Tasks can be linked in four ways, and every link can carry a lag in working days; a negative lag pulls the successor earlier. The system refuses any link that would create a loop.

The critical path is calculated backwards from the project's latest-finishing task: for each task SmartPM finds the latest day it could finish, and the difference in working days between that and its own finish date is its slack. Tasks with no slack are on the critical path, so any delay to them moves the project's end date.

  • SmartPM only pushes forward: if a predecessor gets shorter or a link is removed, successors keep their dates.
  • A start date that lands on a weekend snaps to the next working day; working days are set per project (Saturdays included, for example).
  • "Move linked tasks together" shifts successors and subtasks by the same number of working days.
  • Tasks without dates are listed below the chart, and two people moving tasks at once will not scramble the plan.
The four dependency types in SmartPM (A is the predecessor, B the successor)
Link typeMeaningTypical use
Finish to startB starts when A finishes.Work that cannot begin until an approval is in.
Start to startB starts when A starts.Parallel work that runs side by side.
Finish to finishB finishes when A finishes.Parts that must be delivered together.
Start to finishB finishes when A starts.Retiring the old arrangement once the new one goes live.
LagExtra working days added to a link; a negative value pulls B earlier.Waiting periods such as "start two working days after A finishes".
Roles and Client Access

Who sees what in SmartPM, and who can do what?

Roles are given per project. There is no separate portal account for clients: a client is an ordinary Smart360 user, counts towards your organisation's user total and takes the Client role on the project.

RoleSees and doesLimits
ManagerRuns the project; sees and corrects all time entries on it, deletes empty kanban columns and can delete any comment.Whoever creates the project becomes its manager; the last manager cannot be removed.
MemberWorks on tasks, comments and logs time; edits or deletes their own time entries.Seeing and correcting every time entry on the project is the manager's job.
ViewerFollows the project.Does not log time and does not see time entries.
ClientSees only tasks marked "Visible to client" and their files, comments on them, and approves or requests changes with a note.Cannot create projects or change tasks; internal tasks, time entries, the team list, reports and AI are hidden. File limit of 50 MB.

Bringing a client in takes three steps: add the user in the Smart360 tenant panel (sign-in details go out by email), change their role to Client on the project's Team tab, and tick "Visible to client" on the tasks you want to share. Every task is hidden from clients by default.

Who It Is For

Who is SmartPM for?

Teams whose work has dates that depend on each other, who share the plan with clients, or who want to see time spent task by task.

Teams that share projects with clients

Clients see only the tasks opened to them and can approve or ask for changes, while internal work stays internal.

Groups with several organisations

A separate organisation for each factory or branch; one account switches between them from "My organisations" without a password prompt.

Website, event and launch teams

Ready-made templates set up a website project, an event or a product launch with dates and links already in place.

Teams working from proposals and specifications

Proposals, specifications, survey reports, work lists and bills of quantities become a draft task plan with AI, which you correct before saving.

Work that runs at weekends

Working days are set per project, so the Gantt calculation follows a schedule that includes Saturdays.

Teams that measure their time

A timer, a weekly timesheet and CSV export give a time summary by person and by project.

Security and Data Protection

Where does project data live, and who can see it?

Each organisation's SmartPM data is kept in its own separate database, and nothing is shared between organisations. When a subscription ends and deletion is requested, that database is deleted in full.

For information on how personal data is processed, see the Smart360 privacy notice under Turkey's KVKK (in Turkish). We also offer data protection compliance consultancy for your wider processes.

A database per organisation

One organisation's projects, tasks and time entries are never stored alongside another organisation's data.

Single sign-in

SmartPM opens with your Smart360 account, with no separate SmartPM password. Signing in on one device does not end the session on another.

Role-based visibility

People with the Client role do not see internal tasks, time entries, the team list or reports, and every task is hidden from clients by default.

File rules

Executable files are refused for security reasons. Files use your organisation's Smart360 storage.

Documents read, then deleted

A document uploaded for AI planning is uploaded only to be read, and is deleted as soon as it has been read.

Audit trail

Task history records who did what, and when; changes made by the assistant are recorded under the user's name.

Other Smart Products

How does SmartPM work with the other Smart products?

SmartPM is the project management product of the Smart product family (Smart360). The company account and its users come from Smart360, so there is no separate user list to build for SmartPM.

  • One identity (SmartID): your organisation's address (yourcompany.smartpm.com.tr) redirects to the Smart360 sign-in page, and the same account opens the rest of the family.
  • Shared users: people are added to projects from your Smart360 users, and clients are added in the Smart360 tenant panel too.
  • Shared calendar: tasks are written automatically to your organisation's Smart360 calendar, so they also appear in the calendar of the other Smart products.
  • Shared storage and AI allowance: files use your organisation's Smart360 storage, and AI usage draws on its monthly Smart360 allowance.
  • The rest of the family: SmartMail, SmartFiles, SmartOperator and SmartPass are added to the same Smart360 account and managed from the same organisation panel; SmartSales is the family's e-commerce product.
Platform and Buying

Where does SmartPM run, and how do you get it?

  • Web panel: SmartPM runs in the browser, in a single web panel; the interface is in Turkish, with light and dark themes.
  • Your own address: each organisation signs in at its own address (yourcompany.smartpm.com.tr).
  • User count: people added with the Client role count towards your organisation's users.
  • Export: time entries and reports download as CSV.

SmartPM is not sold online; to buy it, fill in the SmartPM sales form and we will get back to you within the same working day. Full product details and user guides are on SmartPM.com.tr and in the SmartPM documentation (in Turkish).

Questions we hear most often

Frequently Asked Questions

What is SmartPM?

SmartPM is the web-based project management software of the Smart product family, developed by Digital Bridge. It runs projects and tasks in list, kanban and Gantt views and brings task dependencies, the critical path, project roles, client access, file attachments, a calendar, notifications, time tracking, reports and AI-assisted planning together in a single web panel. The interface is in Turkish, and you sign in with a Smart360 account.

How do you sign in to SmartPM?

SmartPM opens with your Smart360 account. Going to your organisation's own address (yourcompany.smartpm.com.tr) redirects you to the Smart360 sign-in page, and once signed in you return to your projects. There is no separate SmartPM password. If you belong to several organisations, you switch between them in one click from the name menu at the top right, without being asked for your password again, and your session in the previous organisation stays open.

What happens in SmartPM when a task runs late?

When you move a task's finish date later, the tasks linked to it move forward according to the link type and lag, keeping their durations; weekends are not counted as working days. SmartPM only pushes forward: it leaves later dates you set by hand alone, and successors keep their dates even if a predecessor gets shorter or a link is removed. The screen shows how many tasks moved.

How does SmartPM calculate the critical path?

The calculation works backwards from the project's latest-finishing task. For each task, SmartPM finds the latest day it could finish without moving the project end date; the difference in working days between that day and the task's own finish is its slack. Tasks with no slack are on the critical path and appear in red on the Gantt chart, together with their links. Other tasks show how many working days they can slip.

Can my client see everything in a SmartPM project?

No. Someone with the Client role sees only the projects they belong to and, within them, the tasks marked as visible to the client. They can comment on those tasks, approve them or request changes with a note. Every task is hidden from clients by default, and internal tasks, time entries, the team list, reports and AI features stay hidden. Clients cannot create projects or change tasks.

Do clients need a separate portal account?

No. SmartPM has no separate portal account: a client is an ordinary Smart360 user and counts towards your organisation's users. You add the user in the Smart360 tenant panel, which emails their sign-in details, then set their role to Client on the project's Team tab and mark the tasks you want to share as visible to the client.

How does time tracking work in SmartPM?

You press Start on the task panel. Each person has one timer, which keeps running when you change page and, when you start another task, saves the time recorded so far. Time can also be entered by hand, as "1:30" or "45 min". The weekly timesheet shows daily and per-task totals, and entries download as a CSV file that opens directly in Excel set up for Turkish. People with the Client or Viewer role do not record time.

What does AI do in SmartPM?

AI works in five places in SmartPM: plan from a document (a task draft from a proposal, specification or work list), plan from a description (tasks, durations, sequence links and milestones from a described project), subtask suggestions ("Suggest with AI"), the project status summary and a conversational assistant. Plans, subtasks and summaries arrive as suggestions; the assistant works only with the user's permissions and never deletes cards. AI features are for the team, and usage comes out of the organisation's monthly Smart360 AI allowance.

Are SmartPM's AI suggestions saved automatically?

Plans, subtasks and status summaries are always shown as suggestions; you save plans and subtasks after choosing and correcting them, and the status summary is never saved. The assistant, on the other hand, carries out your request directly: it works only with your permissions, never deletes cards, lists every change one by one in its reply and records it in the card history under your name.

What can the SmartPM assistant do?

By typing to the assistant in the right-hand bar you can create, move and assign cards, and add dates, labels, checklists, comments and dependencies. For example: "Create a logo revision card due tomorrow, assign it to me and add a pre-launch checklist." The board, list and Gantt chart update on their own on everyone's screen. The assistant works only with your permissions, never deletes cards, lists every change in its reply and records it in the card history under your name; what it does in one message can be undone in a single step with Ctrl/Cmd+Z. Your conversation with it is private to you.

Which documents can SmartPM turn into a project plan with AI?

Word (docx), PDF, Excel (xlsx), CSV, TXT and MD files of up to 20 MB. Any document that describes the work to be done is suitable, such as a proposal, specification, survey report, work list or bill of quantities. The work becomes phased cards with durations in working days, links, priorities and coloured labels, and sub-points go into checklists. Scanned PDFs without a text layer cannot be read. The document is uploaded only to be read and is deleted as soon as it has been read.

How is AI usage limited in SmartPM, and what happens when the allowance runs out?

Usage comes out of the organisation's monthly Smart360 AI allowance. On the "Usage and limits" screen in the assistant panel, an organisation admin sees this month's usage by feature and can set a monthly limit per person. When the allowance runs out, SmartPM says so clearly; every feature other than AI keeps working, and projects and tasks stay available.

Can clients use AI in SmartPM?

No. AI features are for the team; people with the Client role on a project cannot use AI and cannot see status summaries. A client sees only the tasks marked "Visible to client".

Where is SmartPM data stored?

Each organisation's SmartPM data is kept in its own separate database and is never shared between organisations. When a subscription ends and deletion is requested, the database is deleted in full. Files use the organisation's Smart360 storage, with a limit of 250 MB per file, or 50 MB for the Client role, and executable files are refused. Documents uploaded for AI planning are deleted as soon as they have been read.
