What matters most when choosing a business email service?

There is no single criterion, but security and permission management should come before price. Weigh up how inbound mail is authenticated and assessed, per-person permissions on shared mailboxes, approval workflows, how quickly a leaver's access can be removed, and archiving needs. Then calculate cost across mailbox numbers, storage and the effort of day-to-day administration.

Does setting up SPF, DKIM and DMARC stop all fake emails?

No. These records make it much harder for criminals to send email pretending to be your domain. They do not stop messages from lookalike domains that differ by a single character, or from genuine accounts that have been compromised. You still need inbound email assessed against several signals, payment instructions confirmed through a second channel, and trained staff.

How is document management different from a shared drive?

A shared drive simply stores files. Document management controls who can view, edit and delete each item separately, keeps every upload with the same name as a new version, and logs who did what. Documents that are overwritten or deleted by mistake can be restored, and access becomes something you can actually audit and demonstrate.

How long should business emails be kept?

There is no single retention period. Tax, commercial and employment record-keeping obligations have to be balanced against the data protection principle of keeping personal data only as long as necessary. In practice, organisations set retention periods by type of correspondence in a written policy, delete or anonymise expired records, and restrict archive access to authorised staff.
